Hello All,

The Soccer Club of Guilford (SCOG) has made a decision to host as much information as possible on the club website.

 

This note is a very lengthy one but you are requested to read it in its entirety.

 

This note is to inform some of you and reinforce with others how we will be booking Practices and Games for the upcoming seasons in the SCOG website.

 

The process is being continuously refined and there is hope that all of you will assist the Fields Coordinator in a constructive manner.

 

Some simple facts:

  1. The Soccer Club of Guilford (SCOG) website is hosted by League Athletics and although we have a lot of flexibility we do not own the site. As such there are things we can and cannot do.
  2. Having been a managers or coaches over the past several seasons we have used the site very successfully to book: Games, Practices, Meetings, etc…
  3. In our use of the system we have found that by using the system to setup the season we were required to do a fraction of the work required in the past.
  4. Please DO NOT Add Fields to the system. If one is missing, let the Fields Coordinator know the information and it will be added. If we do not control the Fields then we will get over bookings and nobody will be happy.
  5. Please DO NOT Add Categories to the system. Rules are in place in the system that control scheduling based on Categories and if another is added, the rules no longer apply. The current categories are listed below. If more is needed please inform the Fields Coordinator at [email protected].
    1. Game - Cup
    2. Game - Friendly
    3. Game - Fun vs. Parents
    4. Game - Indoor
    5. Game - League
    6. Game - Tournament
    7. Meeting - Parents
    8. Meeting - Team
    9. Team Photo
    10. Tournament Duty
    11. Practice
    12. Tryout
    13. Other Categories: NOT Recommended!!!
      1. Game - (This is for In_House Rec Only)
      2. Postponed - (use the Canceled Flag and re-add the Game)
  6. Email ( [email protected]) is the best way to contact the Fields Coordinator.
  7. Please be patient with the Fields Coordinator.

Prerequisites and Valuable Information

  1. Everything below assumes you already know how to:
    1. Log into the SCOG website
    2. Add a Game or Practice to the system
    3. Use the Game/Practice Attendance Feature
  2. If you do not know any of the above please look on the left side of the SCOG website and go down to "Manager Pages". Within there you will find valuable information. In the Documents section you will find under the Manager Documents short easy to use "Cheat Sheets" that explain many of the tasks.

To Request Add/Change/Delete for a Home Game - During the Season

  1. All HOME game adds, changes and deletes for any given week are to be in the system by Wednesday at Noon. This will allow the Referee Coordinator to acquire referees for the weekend without burning the midnight oil and any bridges.
  2. BEFORE Wednesday at noon.
    1. Deletes - CANCEL, DO NOT DELETE, the game AND send an email to the Referee Coordinator Gene Mulone [email protected] and the Fields Coordinator [email protected].
    2. Changes - Look at master schedule, find hole you want, send a request to [email protected] . State CURRENT Team, Date, Time and Field. State the DESIRED Date, Time and Field. The Fields Coordinator will verify and approve the change.
    3. Adds - Look at master schedule, find hole you want, ADD GAME to the "TBD 8v8" or "TBD 11v11" field as appropriate then send an email to [email protected] providing the Team Name/Date/Time for identification and the Field you wish to use. The Fields Coordinator will verify and approve the addition.
  3. AFTER Wednesday at noon.
    1. Deletes - CANCEL, DO NOT DELETE, the game AND send an email to the Referee Coordinator Gene Mulone [email protected] and the Fields Coordinator [email protected].
    2. Changes - Look at master schedule, find hole you want, send a request to [email protected] AND send an email to the Referee Coordinator Gene Mulone [email protected] AND call Gene Mulone 203-980-5207. State CURRENT Team, Date, Time and Field. State the DESIRED Date, Time and Field. BOTH will verify and approve the change after which you will be allowed to change the game.
    3. Adds - Look at master schedule, find hole you want, ADD GAME to the "TBD 8v8" or "TBD 11v11" field as appropriate then send an email to the Fields Coordinator scogfields@gmail.com AND the Referee Coordinator Gene Mulone [email protected] AND call Gene Mulone 203-980-5207. Provide the Team Name/Date/Time for identification and the Field you wish to use. BOTH will verify and approve the add after which you will be allowed to adjust the game.

To Request a New or Changed AWAY Game

  1. Have Fun. That's all you

 

 

Scheduling a CT Cup Match

  1. All rules change slightly per season. Please read and understand them. They are on the CJSA website.
  2. If you are the away team the other team should contact you Sunday or Monday of the week or game. If they do not, it is in your best interest to contact them.
  3. If you are the home team please contact the other team on Sunday and propose the Day, Time and Location
  4. Weekend games must be scheduled for start between 10:00 AM and 3:00 PM for the Fall Competition and 10:00 AM and 5:00 PM for the Spring Competition. If teams mutually agree games may be scheduled outside of stated hours but must be played by date specified by cup committee. Games played on the designated day and between the stated hours DO NOT require agreement of away team.
  5. If you are the away team you pay for nothing
  6. If you are the home team you must contact Gene Mulone [email protected] (best to call him), the SCOG Treasurer [email protected] and the Fields Coordinator [email protected] as soon as you are aware you are playing at home.
  7. Once Gene assigns the referees please contac the treasurer to obtain referee checks. Please provide referee checks to the referees before game starts. You will need to get the W4 for the referee if the SCOG Treasurer requests one.

To Request a Changed to Practice or Add a special Practice

  1. Check the Fields Availability in the SCOG Website.
  2. Send an email to [email protected] immediately with the pertinent practice information along with your Preferred Field.
  3. The Fields Coordinator will confirm the availability and allow you to change the practices in the system or add new ones.

If you have read to this point you are to be commended and thank you very much. Please remember we are all mostly volunteers and have day jobs. Please be constructive in your comments and requests. Please help the Fields Coordinator help you as we move toward a successful club.
